File Management - What Does Yours Look Like?

Hey Everyone,
Just curious how everyone handles their file management. I have a 1 TB hard drive on my computer, about 300GB used for my Motovlog Videos, and then a 1TB external where I try and transfer files to after I upload to Youtube. This allows me to try and keep as much Raw Footage to work with on my computer that hasn't been put in a video. But I am running into space issues. Just curious what everyone has done with their file management.

I keep a neat, but not strict folder structure going. I store it on my internal 1TB HDD for now, got a 500B ext drive around for when it starts getting unwieldy.
All the used materials are kept within the project folder (Premiere). So I make copies if I use something I made for something else too.

I don't record much more than I need. But any extra footage goes in a "misc footage" folder away from the individual episodes.

I put all my files stright onto a extrernal hard drive under a folder with therapy I did it as the file name. I then pull files over to my computer that I want to edit then delete them off my computer after I and done. I do it this way to save space on my computer and because I accidentally deleted a file off my computer and it was gone so now I keep it all on a external hard drive so I can't accidentally delete it.

Hey man,

That is a great way to make sure you never accidently lose footage. Will have to keep that in mind myself when I get yet another External hard drive. Its crazy to think that I don't have enough space with a 1TB internal and 1 TB external Drive. Currently in the middle of shuffling stuff around and I think I just freed up 300GB of space on my PC's Internal Drive but I'm looking into adding another 3-4 TB drive dedicated solely for Youtube Videos.

Yeah man, I wonder if I should start just not recorded the entire ride and only record the parts I need. For example I did a ride with my buddy Jake yesterday and have almost 3 hours of footage to skim through to get a good 5-10 minute video out of haha.

Yea I get allot of footage out of 1 day of riding so I would fill up my computer fast. I always record when I ride because every time I don't funny shit happenes. Like the other day it was raining so I took off my camera and put it in the bag just for it to stop raining just up the street. We were doing burnouts at a traffic light and some dude in a camaro was botching at ass for shorting rubber on his car so we did more burnouts lmao don't know why he would pull up close enough to someone doing a burnout when he doesn't want rubber on his car.

I mean, I record for maybe an hour or so, which is the time I have to make a few shots at the subject. I record on an older Hero 3 White, so at best I get 1080p 24fps, or 720p 50fps, meaning my files are smaller than it probably is for others.

This will most likely change when I get into bigger bikes and can do longer trips. my current bike is only 50cc due to lack of license, and doesn't have much of a range at all.

Yeah I record at around 1080p 60fps. So i think the almost 3 hours of footage was close to 40GB which is crazy.

I have a 500gb main edit drive and a 500gb archive drive as well. Everything goes on the edit drive first into a folder for each ride/project. When I'm done with the footage it goes to the archive drive. All of the edit files stay on the edit drive, so I can just relocate the files later if I need to tweak the edit or something.

All of my master renders are in folders divided up by the type of content ... vlog, review, maintenance, intros, etc.

If I record a full ride and don't use anything I just delete it. I've saved to much footage over the years and have gotten used tot he idea that I'll never just want to review a random 2 hour ride.

I use a 1TB HD, I setup a few folders 'Pending Sort'>Organized by dates/signification events. 'Edit Footage'>Footage I'll be using. 'Uploads'>Renders that I keep (Deleted RAW's after 1-2weeks so I can revisit in that time if needed.)

4TB external WD HDD, I dump my footage in a folder with the date and what the video was about, then I edit straight from there. I add a x to the beginning of the folder name after I have edited that video so I dont get them confused with ones I havent done anything with yet.

12 tb home cloud storage linked to apple AirPort Extreme router. 12mb per sec transfer rate. Sd card straight from camera into MacBook Pro card a lot and transferred straight to cloud. I also have a portable hard drive for travelling with an sd slot so you can transfer straight from sd card to 2tb hard drive on the move without a PC. Can access or edit cloud from any PC. MacBook, IPad etc in the house. Start on one, edit with another and so on. Keeps files away from loading up storage on mobile devices

30TB NAS with directories set up in the following: (Imagine years going back to 2013, each month of each year per year dir). Everything prior to 2013 is backed up on 2 (inexpensive) SSD's in a fire safe and offsite. Very little of what I do is actually motovlogging-related. Most is photo\video projects with friends or for money.
Z:\ (mapped drive name)
2016\ (year shot)
05-May\ (month shot)
Photos\ (all raw photos)
Finished_Edits\(any finished edited videos with date_project_rev.ext)
Videos\ (all raw videos)
Finished_Edits\(any finished edited videos with date_project_rev.ext)
Z:\ (mapped drive name)
Paid_Projects\
2016\ (year shot)
05-May\ (month shot)
Photos\ (all raw photos)
Finished_Edits\(any finished edited videos with date_client_project_rev.ext)
Videos\ (all raw videos)
Finished_Edits\(any finished edited videos with date_client_project_rev.ext)
and so on...

Sometimes under the "Finished_Edits" directories, if there are a lot of revisions, I will create subsequent client/project directories as needed. This has been working like a charm for nearly a decade, and everything I have is able to be found quickly.

I will begin putting 2013 onto the SSDs for storage in the next few weeks. Trying to clear a couple that were standby. The backups go back to 2005, when I started with digital photography. The first 5 years, everything is on the same SSD (pair) as they all fit in a 128GB drive. 2013 will require a 128 GB drive all to itself, but when I get into 2014 and 2015, 256GB drives will be needed for each year.

Also on the NAS is my whole movie library for my entertainment setup as well as all my music catalog. with over 650 movies and 700 episodes of shows, it is taking up about 6 TB of space (and growing).

I have my computer backups writing to my Apple Airport Extreme with a 4TB drive. Covers my MacBook Mini (sits next to my TV), holds the last backup for my previous MBP, and is now my primary backup for my AW17 (Windows 10 Pro).

I have two unused WD MyCloud devices (6TB each) that I have yet to assign anything to. Dunno.

When I shoot, I first copy everything to the Z:\ drive so the raw stays clean. Then, I copy a working copy to my laptop and create the project from that. Once the edits are done, I render the video (or just save the photo) and copy that to the Z:\ so it is backed up. Once I am done with the project, I copy the project files onto the Z:\ drive in the appropriate location. If I have to revisit, I just copy them back to the working sir on the laptop and pick up where I left off as if nothing ever changed.

What works for me, may not work for others.

I don't even need a filing system, every thing gets thrown into 2 external hard drives that echo each other.

I do that for all my photos and old movies/TV series that don't get seeded anymore as well as documents.

This reminds me, I think I need to buy another pair of 500gb ssds.

Wow guys, just read @Viscount and @Raven both have home NAS and Cloud servers and kind of geeked out a little with the explanations. I hope to be able to make something like that later down the road. Good view into everybody's file structures. Now we know who are the OCD members of the website are.

It is amazing how your workflow and thought process will change when you watch your cat knock a drive off the counter (was moving the drives to a different room) and you have to call in a favor to have 120 GB of data restored from scratched platters... No, I didn't kill the cat.

Besides, I am a network engineer by trade, the video/photo work is a side job and hobby. I am actually getting ready to rebuild the network at home from the ground up. I am having some throughput issues and the network has been set up the same for the last decade (mostly the same). Just want to do some house cleaning and redo the IP addressing.

But yeah, I did geek out a bit.
